Loyalty, Birthday and Welcome Offers That Bring Regulars Back

Delvixo Team6 min read

A guest asks whether they can use a birthday reward. The cashier has seen the promotion but cannot find the offer, and a manager has to decide what to do while the next order waits. We would sort out that checkout process before promoting the reward.

Start with one offer your team can explain in a sentence. Decide what the guest receives, what qualifies, and how staff apply it. Then check the tools already connected to your point of sale. A points program, a birthday treat, and a welcome discount can serve different purposes without becoming three overlapping promises.

How do I choose between points, birthday rewards and welcome offers?

Choose points for an ongoing earning program, birthdays for a defined celebration window, and a welcome offer for the particular first action you want to reward.

We would start by choosing an item or discount the restaurant can comfortably honor. Cost the reward, including its portion, packaging, and preparation. Avoid setting the offer around an assumed increase in visits. You can measure what guests actually do after launch.

Be precise about welcome. Joining a program, making a first purchase, and placing a first online order are different events. A signup bonus does not establish that the customer has never ordered before. If you mean first order, confirm that your setup can identify that event and prevent repeat use before advertising it.

We would introduce one program, train the team, and review real redemptions before adding another. That gives staff time to learn the process and gives you a clear record of what each offer costs.

What can I do with Clover Rewards?

Clover Rewards gives customers points on their purchases to redeem for rewards, and it includes optional sign-up and birthday bonuses.

Clover's Rewards FAQ says customers earn 1 point per dollar of pre-tax spend, and you choose how many points each reward costs. Rewards can be discounts, items, add-ons, and more. Customers enroll with a phone number or email address, which identifies them on later visits. Clover says reward features are included in select service plans, so check yours first.

For birthdays and welcome offers, Clover's help center says to open the Clover dashboard, go to Customers, then Rewards, and use the Your rewards tab to set a one-time sign-up bonus and a birthday bonus. Confirm both appear in your account before announcing them, then try enrollment and redemption on the device your cashier uses.

Write down the working steps as you test. Keep the sign-up bonus distinct from a first-order discount unless your setup can verify that order condition.

What can I do with Square Loyalty?

Square Loyalty lets you award points based on spending, purchases of specified items or categories, or visits, then offer rewards at chosen thresholds. Square's help pages list it for Square Loyalty subscribers and Square Plus and Premium subscribers.

Square's setup help includes discounts on a sale, item, or category, along with item and combo rewards. You create the program in Square Dashboard under Customers, then Loyalty. Pick an earning rule staff can explain without a calculation at the counter. Check the item selections at every participating location before offering a specific dish as the reward.

Birthday and welcome messages need a separate look at Square Marketing. Square documents automated campaigns for welcoming customers and sending birthday gifts. Check the marketing access included with your subscription instead of assuming that creating a points program activates those messages.

A welcome message is not proof of a first order. Decide whether your offer rewards a new subscriber or a verified first purchase. Keep the campaign wording, coupon settings, and cashier instructions aligned with that decision.

What can I do with Toast Loyalty?

Toast Loyalty supports points and chosen rewards, with optional signup bonuses and birthday rewards that need their own configuration.

Toast's setup help describes enrollment at the register, at the table, online, and through its Local by Toast app. If Toast Loyalty does not appear in Toast Web, Toast says your account may not have an active loyalty subscription. Guests can be identified through their loyalty contact details or a linked card. Check the ordering channels you plan to include: Toast says its loyalty points cannot be earned or redeemed on orders submitted through integrations such as DoorDash, Grubhub, or Uber Eats.

Toast also documents a birthday treat setting and a redemption window chosen by the restaurant. Its guest guidance says a birthday treat becomes available 24 hours after birthday information is added. Do not promise someone can join and claim it immediately.

We would configure the birthday reward separately from the ordinary points reward and test the intended channel. Check whether a welcome incentive grants points or an immediate discount before writing the promotion. Those are different benefits, even if both appear after enrollment.

How do I write fair fine print for the offer?

State the qualifying action, reward, redemption window, eligible ordering channels, and limits before the guest signs up or orders.

Treat the following as decisions for your restaurant, not rules automatically enforced by every POS. Match each condition with a setting or a workable staff process. If your software cannot support a restriction, simplify the offer or arrange a reliable manual check before publishing it.

  • Define one per guest: one welcome redemption per guest, or one birthday reward per guest per year, rather than an unexplained limit.
  • Name the item, size, included extras, and any purchase requirement. Say how substitutions work.
  • State whether the offer is dine-in only, includes counter pickup, or works through your supported online checkout.
  • Show the expiration date or birthday window and whether another discount can be used on the same order.
  • If you choose an ID check for birthdays, disclose it in advance and train staff to check the relevant details without copying the document.

For example, an owner-selected birthday offer could say: One small dessert per enrolled guest each birthday year, during the displayed birthday window, with a dine-in main course purchase. Please show ID confirming your birthday. Cannot be combined with another discount. Use that wording only if those are your approved conditions and your checkout can honor them.

How should staff apply rewards at the counter?

Staff should identify the correct guest account, confirm an available reward, and check the discounted total before taking payment.

For Square, staff search the guest's name, email, or phone number for available rewards; in the Square Restaurants app that is Actions, then Rewards. For Toast, staff can select Rewards on the payment screen, locate the account through Lookup, and select Redeem when the guest qualifies. For Clover, ring up the order, tap Pay, enter the guest's phone number or email, and redeem the available reward.

Ask the guest whether they want to use the reward. Check that the right item or discount appears once. Do not add a separate manual discount when the loyalty system has already applied one. If the reward cannot be found, have a manager check the account and offer terms before deciding on an exception.

We would rehearse a normal redemption, an ineligible purchase, and an expired offer before launch. Keep a short staff guide beside the register and record exceptions. Review actual reward costs and repeat visits without assuming every returning guest came back because of the offer.

Delvixo can help set up the reward wording, checkout instructions, and website explanation around the tools you already use. We can start with one manageable offer, at a pace that suits you.
