How a Restaurant Should Reply to a Bad Google Review
A guest leaves a bad review. You remember the evening differently, the team wants to explain, and suddenly a reply that should take two sentences becomes a statement about the whole restaurant. We keep it much simpler: acknowledge the experience, mention what the guest said, and invite an email conversation.
The public reply has a small job. It should sound like someone read the review and wants to listen. Investigating the visit, talking to the team, and deciding what to do next belong in the private follow-up. Trying to fit all of that into a Google reply makes the first step harder than it needs to be.
How do I reply to a bad restaurant review?
Write one or two sentences, about 25 words, that open with "We're sorry to hear", name the experience the guest described, and invite them to reach out by email so you can improve their experience.
That is our method, and we use all of it together. The opening expresses care. The specific detail shows you read the complaint. The email invitation gives the guest a next step. The short length keeps you from drifting into a defense of the restaurant or a public investigation.
Apologize for the experience without admitting a specific failure. You can be sorry that a guest felt disappointed without stating that the kitchen made an error, a server behaved badly, or an order was mishandled. Keep the wording tied to what the guest described, rather than what you have not established.
- Open with "We're sorry to hear", followed by the experience the guest described.
- Use one specific detail, without repeating the whole complaint.
- Invite the guest to reach out by email so you can improve their experience.
- Keep the reply to one or two sentences, about 25 words, and write each one fresh rather than pasting the same text every time.
- Leave phone numbers, arguments, refunds, and free items out of the public reply.
How do I make the reply specific without admitting a failure?
Refer to the guest's disappointment about a dish, wait, or visit, without asserting that the restaurant caused a particular problem.
For a complaint about a dish, name the dish and the disappointment. For a complaint about waiting, refer to their experience of the wait. Avoid filling gaps with your own explanation. You do not need to say who was working, what the kitchen was doing, or why another table received food first.
Specific does not mean detailed. A reply can acknowledge the part of the visit that mattered to the guest while leaving out names, receipts, and the restaurant's version of events. Before posting, read it once as someone who knows nothing about the visit. If it sounds like an argument, shorten it.
We also avoid an apology followed by but. That turns the opening into a setup for a rebuttal. If there is something you need to understand, ask about it when the guest emails. The public response should make that conversation possible, not decide its outcome.
What do short review replies actually look like?
They acknowledge one detail and give one next step, as the invented examples below show. These are writing examples, not reviews from real customers or results from a client.
Invented example 1: a disappointing dish
Invented example review: The pasta was not what I expected, and I left disappointed.
Example reply: We're sorry to hear the pasta wasn't what you hoped for. Please email us at [your email address] so we can make your next visit better.
Invented example 2: an uncomfortable wait
Invented example review: We felt frustrated waiting for our table and did not enjoy the start of dinner.
Example reply: We're sorry to hear the wait made for a frustrating start to dinner. Please email us at [your email address] so we can improve your next visit.
Invented example 3: a good visit
Invented example review: We loved the roasted vegetables and had a lovely birthday dinner.
Example reply: Thank you for celebrating your birthday with us. We're glad you enjoyed the roasted vegetables and appreciate you sharing such a lovely part of your evening.
Write out a real email address that someone on your team checks every day. Never put a phone number in a public reply. If the guest writes in, answer within a day and keep that conversation private.
How do I reply to a good restaurant review?
Thank the guest briefly and personally for the specific dish or moment they mentioned.
A positive reply does not need the restaurant's full story. If the guest loved a dessert, thank them for mentioning it. If they celebrated a birthday, thank them for choosing to spend that occasion with you. Stay with what they actually wrote, rather than adding details you do not know.
We keep these replies short too. A sincere thank you can stand on its own. Avoid turning it into a promotion, repeating a slogan, or asking the guest to buy something else. You are acknowledging their visit, and that is enough.
How do I report a review that breaks Google's policies?
Report it through your Business Profile when you can identify a violation of Google's content policies, rather than simply a review you dislike.
Google's Prohibited and restricted content policy for Maps covers things like fake engagement and harassment. Read the relevant rule before reporting. Google says not to report a review just because you disagree with it or dislike it.
Google's reporting instructions are to open your Business Profile, select Read reviews, choose Report beside the review, select the reason, and send the report. You can check its status in the Reviews Management Tool. Reporting asks Google to assess the content. It does not guarantee removal.
What should I check before publishing the reply?
Check the opening, specific detail, length, and email invitation, then remove anything that argues, admits a specific failure, or offers public compensation.
Google requires a verified business before you can reply to reviews. Once you have access, give one person responsibility for drafting and checking responses. When the guest emails, listen and investigate privately. The public apology is the beginning of that work, not a substitute for it.
